Position Primary Purpose and General Responsibilities
The Clinical Research Finance Administrator – Post-Award Lead works directly with the Assistant Director of Research Finance to support post-award financial activities for research studies in relation to budgets, grants, and contracts for clinical trials.
The general responsibilities of this role are as follows:
- Demonstrates a commitment to risk assessment by utilizing identified internal control mechanisms and practicing routine verification of the accuracy of data.
- Serves as a post-award team lead, scheduling ad hoc/standing working meetings between team members, VCU Grants and Contracts, VCU Procurement, and other key collaborators to continually improve communication and workflows between teams.
- Continually evaluate post-award team workflows, templates, and processes to ensure there is consistently and accuracy in how they are done.
- Reviews all federal, foundation, or industry budgets to ensure they are properly set up in Banner for post-award management, and following up with VCU Grants and Contracts when they require updates.
- Ensures expenditures/revenues are coded correctly in RealSource and Banner and are in accordance with State, VCU, and sponsors' regulations. Approves purchases and file documentation so accounts are audit ready anytime. Serves as the backup approver for purchases when needed.
- Projects expenditures to the budget year-end and coordinates final budget expenditures/revenue transfers or extensions with the Asst. Director of Clinical Research Finance Administration, Clinical Trial Office leadership, and PIs on all trial budgets and grants.
- Prepares cost transfers and journal vouchers with appropriate approvals and documentation, and ensure they are submitted timely and accurately.
- Reviews monthly personnel expenditures and to working budgets to ensure budget/actual costs are accurate and taking appropriate action to correct discrepancies.
- Identifies and investigates financial/keying errors, missing revenues, or other related issues and works with supervisor, team, Grants and Contracts, and others as needed to correct them.
- Provides ongoing financial support to PIs, faculty, CTO leadership, and supervisor as required.
- Prepares monthly financial reconciliation reports for assigned accounts and ensures they are sent out before the end of each month, are reviewed and signed by supervisor, and sent to the PIs for their review.
- Reviews, reconciles, and signs off on all non-sponsored trial account activity for accuracy and completeness in the Financial Dashboard. Provides ad hoc financial donor reports as requested.
- Coordinates non-sponsored clinical research account budgets with the MCC Finance Administration team and ensures year end activity (encumbrance removals, budget adjustments, etc.) are done in advance of year end deadlines.
- Other job duties as assigned.

- BA/BS degree or degree equivalency with 6 years of experience.
- 2 years minimum experience in clinical research.
- Able to perform moderate lifting. Able to sit, stand and walk for prolonged periods of time. Able to read papers and online documents. Able to operate standard office equipment. Able to exercise physical ability and perspective acuity to satisfactorily perform essential job functions.
- Research administration experience overseeing post-award management with progressive responsibilities in the oversight of post-award activities for clinical trials.
- Significant clinical research financial and billing experience in an academic/medical setting, or equivalent required.
- Demonstrated ability to work with detailed financial data and to analyze financial information.
- Exceptional analytical and organizational skills and the flexibility to handle multiple tasks and deadline pressures.
- Extensive working knowledge and understanding of the university research environment in an academic medical setting.
- Familiarity with federal and state regulatory and clinical research compliance issues affecting Universities.
- Proficiency with MS Word and Excel; comfortable with a variety of database applications. Advanced experience using spreadsheets.
- 4 years preferred in clinical research.
- ACRP/SOCRA (or equivalent) certification preferred.
- Experience with Banner and RealSource is preferred.
- Experience working in CTMS (OnCore) is preferred.
- Accurate data entry, word processing, analytical thinking skills.
- Effective organizational skills, and a strong attention to detail.
- Effective professional written and oral communications skills (i.e. ability to communication with others in a clear and professional manner).
- Strong interpersonal skills (i.e. ability to work with personnel at all levels to gather information and communicate compliance requirements).
