Job Summary

We seek an organized, positive contributor to join our team of administrative professionals to oversee and coordinate Subspecialty Cardiovascular Medicine Fellowship Programs.

Responsibilities

1. Oversee specific components of daily program operations and program activities, which may include: trainee schedules, evaluations, assignments, educational conferences, leave requests, work hours reporting, recruiting, orientation, exam administration, and social events, etc.

2. Compile and organize confidential data for filing and archiving.

3. Provide administrative support for program leadership.

4. Assist with accreditation and board reporting.

5. Assist with trainee recruiting, which includes interview scheduling, communicate interview schedule with faculty members. After recruiting season, assist with new hire form collection and processing.

6. Purchase program materials within a stated budget and maintain related documentation.

7. Prepare letters of recommendation, verification of training, and loan deferment forms and prepare forms for semi-annual house staff reviews and end of fellowship letters.

8. Assists with the implementation of department and University policies and procedures.

9. Additional support related duties as needed and assigned.

Problem-Solving
This position provides independent coordination and decision-making for all activities of a specified program. The program outcome often affects the University as a whole. Acts as a liaison between internal and external constituencies involved in program activities. Problems arising from these coordination efforts will be addressed by the incumbent, who will refer to the manager for issues outside of program policy and procedure guidelines.

Minimum Qualifications

Bachelor's degree in a related area plus three years of experience in budget, grant and program management or equivalency (one year of education can be substituted for two years of related work experience) required. Develops and implements program ideas into successful academic and research programs; demonstrated human relations and effective communication skills also required.

Preferences

• Demonstrated knowledge of Graduate Medical Education and familiarity with ACGME requirements.
• Moderate to advanced computer skills including proficiency with Microsoft Word, Excel, and Outlook is required. The ability to learn new computer programs quickly also preferred.
• Punctual, professional, reliable and willing to learn and take on responsibility in a fast-paced environment.
• Superior organizational skills and the ability to work independently and pay close attention to detail desired.
• Excellent communication and interpersonal skills including written and verbal; and demonstrated ability in critical thinking and diplomatically handling problems of a sensitive and/or confidential nature.

• Aptitude to work independently, analyze and make decisions related to program content.

• Familiarity with Internal Medicine Subspecialty Fellowship Programs preferred.
