Under the general direction and supervision of the Liaison to the President, the Executive Assistant is responsible for high-level support to the Board of Governors, President’s Office and Area Office. This is a full-time position.

Board of Governors

ESSENTIAL FUNCTIONS:
Board of Governors
- Provide professional support to the Board by performing a wide range of executive duties, including, but not limited to; developing reports, coordinating schedules, preparing for meetings, recording minutes, conducting research, consulting, facilitating meetings, offering suggestions on confidential or critical matters.
- Maintain accurate Board Minutes, draft meeting agendas, legal notices and documents, post meeting materials using board management software, send informational appointments and reminders to Board Members and other attendees, attend all Board meetings, coordinate meeting setups which may include IT services, refreshments, meetings rooms, etc., arrange Board travel, event registration and accommodations, make purchases, processes invoices and expense reports.
- Provide support to the Board Chair and Board Teams as requested or assigned.
- Work with Board Chair and President to timely and accurately publish Board Meeting Agendas and all supporting documents, resolutions, etc.
- Provide professional support to the Board by maintaining critical information reports, update and keep tasks on schedule by regularly providing administrative updates on project progress.
- Manage the awards and recognition events as directed for the Board of Governors, which may include appreciation, years of service, retiree’s and other recognition events.
President’s Office
- Support the Liaison to the President and College by tracking milestones, updates and keeping tasks on schedule by regularly providing administrative updates on project progress.
- Develop draft presentations and reports and maintain a knowledge base of necessary presentations to draw from.
- Assist designated Administrators with correspondence, scheduling and timely communications with internal and external constituents.
- Assist with various College initiatives by working with individuals and committees when requested.
- Develop and transmit critical information, key deadlines, appointments, etc. to the President.
Administrative Support
- Perform reception duties, greet and direct visitors and stakeholders, receive calls, and distribute messages accordingly.
- Reserve and prepare meeting spaces, make catering arrangements, and request room setup and IT support when requested.
- Maintain Area Office inventory and supplies.
- Maintain files, make purchases, prepare requisitions and direct invoice approval forms, process invoices and expense reports.
- Submit requests for repair of office equipment and office space.
