Nebraska Wesleyan is recruiting for an Events Coordinator. Successful candidates will have a passion for higher education, work collaboratively across the Advancement Team and campus, effectively lead volunteers and have a drive to transform lives and impact societal good through constituent engagement.

The Events Coordinator role is a full-time, twelve-month position responsible for planning and executing alumni engagement events and select high-profile institutional events. Primary responsibilities include developing and delivering in-person and virtual events as well as digital programming to constituents; leading teams of partners and volunteers to meet event objectives; identifying, managing and executing logistical elements of events including but, not limited to, event plans, timelines and task lists, vendor relationships and contract negotiation, print and digital communication; assisting with developing and measuring event benchmarks and pre and post event engagement of attendees. Activities will be focused on creating meaningful, impactful and mutually beneficial experiences for those wishing to support Nebraska Wesleyan.

Responsibilities:
  • Researches, selects and reserves venues and negotiates associated deliverables for alumni engagement and donor events, both on and off campus.
  • Researches, selects and manages all aspects of vendor relationships for equipment and services needed for events including but not limited to audio/visual, catering, entertainment, linen and seating rentals, staffing and hotel accommodations.
  • Plans event aesthetics and executes on design by creating centerpieces, decorations, room layout and other final touches to achieve creative vision.
  • Oversees and procures event supplies for NWU Advancement; assists internal partners in managing budget, tracks all event expenses and provides on-going updates and timely expenditure reports.
  • Serves as site coordinator during events which includes managing all logistical details, event set up and tear down, leading volunteers and staffing, and troubleshooting.
  • Manages the event registration process and provides accurate and timely attendance reports both pre and post event.
  • Assists with pre and post event engagement of audiences.
  • Develops annual, measurable goals in conjunction with the Director of Alumni Relations.
  • Travels occasionally to manage non-local events.
  • Occasionally works nights and weekend hours for event participation and to meet with alumni and friends of the university.
Qualifications:
  • Bachelor's degree or equivalent experience is required.
  • Event planning experience is required.
  • Experience as a leader of project teams and volunteers.
  • Self-starter with strong organizational and project management skills.
  • Adaptable, flexible and eager to work collaboratively with colleagues to achieve Advancement goals.
  • Demonstrated creative thinking skills and ability to problem-solve under pressure.
  • Able to work independently, prioritize tasks, and meet schedule deadlines.
  • Works well with others and collaborates from a position of appreciative inquiry Strong interpersonal, oral, and written communication skills.
  • High-energy with a positive, can-do attitude.
  • Must be computer proficient, with knowledge of Microsoft Office Suite Applications and should be familiar with utilizing databases.
  • Demonstrate the ability to maintain and be responsible for confidential information.
  • Domestic travel accounts for less than 1% of annual time worked, including air travel and overnight stays.
