Job Description



PURPOSE AND SCOPE:

The PT Coordinator I, Student Services performs standard and some advanced administrative duties. Duties such as handling budgeting, payroll, human resources process, and purchasing. Basic duties may include receiving and logging information, making copies, sorting and distributing mail, preparing correspondence or basic documents, answering routine questions and inquiries, providing information and directions and providing a service oriented environment. Activities are routine but may involve non-routine requests or specialized information.

ESSENTIAL JOB FUNCTIONS:

  1. Provides administrative support to assigned area with payroll, purchasing, budgeting, and human resource functions
  2. Processing new applicants (full-time, part-time, and adjuncts)
  3. Reconciling faculty assignments with payroll queries each semester
  4. Reconciling the divisions bi-weekly and semi-monthly payroll
  5. Reconciling department purchases to ensure funds availability and correct coding
  6. Setting up and maintaining spreadsheets for human resource, payroll, and budgeting data
  7. Maintaining division files and division information with confidentiality in accordance to System and Board Policy
  8. Tracking payments to vendors
  9. Assists with student travel
  10. Providing directions to division faculty and staff with iStar database -- travel authorizations, expense reports, absences, substitutions, and purchases
  11. Assists as backup for building academic course schedule in PeopleSoft
  12. Ordering supplies
  13. Handling and processing contracts
  14. Assists with other related duties as assigned

  • Proficient use of standard office computer technology with the ability to utilize computer applications to access data, maintain records, and generate reports
  • Ability to work independently with minimal supervision and work cooperatively as a member of a team

PHYSICAL ABILITIES:

The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items, such as papers, books, or small parts; or driving an automobile. No special physical demands are required to perform the work.

WORK SCHEDULE AND CONDITIONS:
  • Equipment used includes, PC workstation running on a LAN in a Microsoft Windows environment, calculator, phone and other general office equipment
  • Interface with internal and external contacts as needed to carry out the functions of the position
  • Work is performed in a climate-controlled office with minimal exposure to safety hazards
REQUIRED QUALIFICATIONS:
  • High school diploma or GED and at least 3 years of related work experience, or an equivalent combination of education and experience
Salary

Hourly Pay Rate is $16.40
