Job Summary

Provides administrative and academic support to the College of Business' Specialized Masters programs to ensure the best use of resources, while exercising initiative in conducting projects and assignments in support for the department.
  • Manages and reconciles departmental expenses including travel and other expenses using University credit card. Assures compliance and adherence to University credit card policies and procedures. Submits requisitions and receives goods or services against purchase orders; creates travel authorizations, expense reports, through the University's financial system. May process contracts in accordance with University purchasing guidelines.
  • Provides high-level customer service and administrative support for the graduate and graduate certificates that fall in the Specialized Masters programs. Assists with the logistics and delivery of student services for prospective and current graduate students by disseminating general program information and requirements, answering general student questions, sending reminders and assisting with the handling of special student requests.
  • Provides assistance with the recruitment, application and admission process for the graduate certificate programs.
  • Assists with managing graduate program logistics, including, but not limited to the coordination of internal and external events such as; faculty retreats, meetings, seminars, conferences, graduation activities, student engagement events, competitions, orientations and colloquia.
  • Assists with maintaining the inventory of office supplies and promotional items. Processes departmental and individual memberships, subscriptions, and software purchases.
  • Provides logistical support to include the collection/tracking of information, and preparation of reports to support the accreditation/accreditation process for the department's graduate programs.
  • 'Works closely with the College's Marketing and Communications department on verifying website accuracy. Assists with the development and design of digital and print collaterals.
  • Interprets university administrative and/or fiscal policies and procedures. Provides recommendations on procedures for the unit to improve administrative and/or fiscal operation for the programs and office site.
  • Serves as the University's credit card user for departmental transactions. Adheres to University's rules and regulations.
Minimum Qualifications
  • Bachelor's degree and two (2) years of office or related experience.
Desired Qualifications
  • Excellent communication (oral and written) skills.
  • Experience planning and/or organizing events.
  • Experience working with external vendors/sponsors.
  • Knowledge of advanced features of Microsoft Office Suite and SharePoint.
  • Experience with CRM technology.
  • Customer Service experience.
