This position is eligible for remote or hybrid work. Remote employees may need to travel to campus at least four times per year for training, retreats, and team development. DePauw will hire remote employees from the following states: Indiana, Michigan, Illinois, and Wisconsin.

POSITION SUMMARY

The Enrollment Systems Administrator plays a crucial role in supporting the admission office by managing and optimizing the Slate CRM system. Reporting directly to the Vice President for Enrollment Management, this position is responsible for overseeing the technical aspects of enrollment systems to ensure efficient operations and data management. The Enrollment Systems Administrator facilitates enrollment staff systems training ensuring technical proficiencies on the admission team and troubleshooting when necessary. This position is key to ensuring the success of enrollment management goals and contributing to the university mission to prepare the leaders the world needs.

Essential Functions Statement(s)

CRM Management:
  • Maintain and customize the admission CRM system to meet the specific needs of the admission office.
  • Develop and implement workflows, forms, and communication plans within CRM.
  • Provide training and support to staff on the effective use of CRM.
  • Support financial aid systems management when needed.
Data Management:
  • Ensure data integrity within the enrollment systems by regularly auditing and cleaning data.
  • Generate reports and analyze data to support decision-making processes for enrollment management.
  • Implement data security measures to protect sensitive information.
System Optimization:
  • Identify opportunities for process improvement and system enhancements within Slate CRM.
  • Collaborate with stakeholders to streamline enrollment processes through automation to leverage recruitment practices.
  • Stay updated on industry best practices and new features of CRM.
Technical Support:
  • Serve as the primary point of contact for technical issues related to enrollment systems.
  • Troubleshoot system errors, provide solutions, and escalate complex issues when necessary.
  • Support technical needs of the operations team and communications/marketing teams to ensure success.
  • Coordinate with information technology colleagues and external vendors for system maintenance and upgrades.
Collaboration and Communication:
  • Work closely with various departments to ensure seamless integration of enrollment systems with other university platforms.
  • Communicate system updates, changes, and training opportunities to staff members.
  • Participate in meetings, committees, or projects related to enrollment management initiatives.
  • Meticulously document systems procedures and practices.

  • Perform additional tasks and projects as assigned by the VPEM.

Education: Bachelor's degree (B. A.) from four-year college or university required.

Experience: Minimum of three years' experience in an undergraduate admission office is required.

Communication/Language: Strong: Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.

Math Ability: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Computer Skills:
  • Demonstrated expertise in using Slate CRM
  • Technical proficiency in Microsoft Office applications (Word, Excel, PowerPoint), Google applications, data visualization software and ability to learn other computer software programs.
